Operations Manager – Cleaning at Tsebo Group

We are currently looking for an Operations Manager is to oversees the daily workings of the organisation operations. Responsible to maintain a high-quality standard of organisations deliverables in line with site specific SLA’s. Responsible to manage client relations, perform cleaning and equipment inspections, support and develop the site management. Ensure sites are managed according to budgeted costings and growth targets. Duties & Responsibilities

Operations and Service Delivery

• Best allocate the resources of the contract to achieve maximum cleaning output. Where the SLA stipulates resource requirements, these must be adhered to

• Ensure work schedules/job cards are in place for each position and relevant to site

• Ensure consistently high service standards are maintained for all services in scope with regular site visits and inspections

• Contract retention through maintaining excellent service standards, identifying and mitigating the risk of cancellation and building strong client relationships with key client contacts

• Ensure that cleaning methodology are strictly adhered to in line with company policies, quality programmes and legislation

• Managing company assets by performing monthly spot checks on high value items. When checking assets ensure that equipment is kept in a good condition and repaired and serviced when required

• The upkeep of all unit files kept at unit level and notice boards as set out in TCS Policy and Procedure file

• The upkeep of the unit master file (Business Information File) kept at Head office, by submitting all changes (upsells/down sells/scope changes) timeously to the finance department thus ensuring that an updated sample roster is available in the Business Information File

• Delivery of chemicals and consumables to sites may be a requirement

• Delivery of pay slips monthly to sites Communication

• Regular client meetings with at least one formal documented client meeting per month to ensure client needs are understood and expectations are met

• Ensure monthly completion of reports required for specific services as agreed with clients. This may include hygiene consumption reports, cleaning inspection and walk about reports, reports on training performed, reports on client maintenance matters that were reported by cleaning management and/or completion of client monthly surveys. It may also include client specific requirements

• Responsible to effectively communicate and filter company information to contract managers who needs to filter down to their staff Labour Management

• With reference to recruitment and new appointments, policies, procedures and deadlines to be adhered to

• All unit staff making use of the biometric system should ensure that the biometric system is in use and managed according to the set requirements. Operations managers must ensure adherence to this

• Operations managers are responsible to approve salaries for their units and to actively monitor labour/turnover ratios per contract

• Operations managers are responsible to ensure that contract managers and supervisors abide by the company disciplinary code and that this is consistently applied

• Operations managers are responsible to represent the company during ccma cases and union meetings as required Health and Safety

• Ensure that all OHS act (Occupational Health and Safety) requirements are adhered to for site specific requirements in line with company policies, quality programmes and legislation. Unit Finance

• Ensure each unit is operating within the budgetary guidelines with reference to labour, capital asset depreciation and maintenance, chemical and consumable spent and other expenses

• Compile accurate budgets and forecasts in line with company deadlines

• Ensure correct billing and analysis of monthly financial results during financial sign off of trading accounts to identify any problematic areas and pro-actively take appropriate corrective action. Provide correct and valid reasons in unit finances along with the necessary recovery within a reasonable time period

• Continually identify potential of additional business within existing contracts and One off cleaning opportunities General

• To constantly be aware of current trends and new innovation in the industry and make suggestions how these could be implemented in the business • To implement and manage initiatives and objectives as set out from time to time by our clients and/or Tsebo

• Management and to support functions such as Quality (Star Grading), Procurement, Training or HR

• Operations managers are to ensure that our TCS brand is protected and represent it professionally at all times

• Ensure that statutory/legal requirements are strictly adhered to

• Continually look at cross selling opportunities within the Tsebo Solutions Group (hygiene, security, catering, facility management)

• Understand cleaning principles and knowledge of company policies and procedures.

• Good understanding of scheduling of staffing and assign cleaning tasks productively to each position to achieve an output standards according to site specific sla’s

Qualifications

• Minimum Matric

• Relevant tertiary qualification and/or equivalent experience

• Knowledge of legislation relevant to the cleaning industry

• Must have a valid driver’s license and own reliable vehicle

• Minimum of 5 years’ experience in a similar environment on middle management level

• Experience in managing large compliments of people and a large client portfolio

• Valid drivers licence

• Own reliable transport
